Your first employee: checklist and real employer cost
The first hiring mistake is usually one of timing or arithmetic: registration happens too late, or the owner promises a net salary without calculating the full employer cost.
The order matters
- Employment contract: sign the written contract, with the mandatory content, before work starts.
- Insurance registrations: complete pension and health registrations no later than the starting date and before the employee actually begins.
- Payroll and JOPPD: calculate payroll each month and file the prescribed report within the applicable payment deadline.
- Working-time records: keep them from the first day, including any agreed remote work.
What “salary cost” means in 2026
The statutory minimum gross salary for 2026 is 1,050.00 EUR. The standard employer health contribution is 16.5%, so that component is 173.25 EUR calculation: 1,050.00 × 16.5% and the gross-II cost is 1,223.25 EUR calculation: 1,050.00 + 173.25 before any other employment-related cost. The employee’s net depends on personal allowance, dependants and residence.
A lump-sum sole trader may employ staff. Hiring does not itself end the lump-sum regime; the separate receipts threshold does. A working owner-director is also not automatically on the ordinary minimum-wage base: director insurance bases are governed separately.
“We agreed 1,000 EUR net”
An owner promises 1,000 EUR to the employee and budgets exactly that amount. Payroll must work backwards from the desired net through employee contributions and local income tax, then add the employer contribution. The full cost is materially higher, so the calculation belongs before the offer.
Remote work
The employee works from home for 10 days. At 4 EUR per recorded day, the illustrative allowance is 40 EUR, within the monthly 70 EUR limit. Actual remote-work days must be documented.
Probation does not work out
Probation was agreed in writing. A decision based on failure during probation must follow its specific statutory framework, including the timing and minimum notice rules; it is not the same as an ordinary misconduct dismissal.
Frequently asked questions
What does the 2026 minimum salary really cost the employer?
The statutory gross minimum is not the total employer cost. Payroll adds the applicable employer contribution and any other agreed employment costs; the employee net depends on personal tax circumstances.
When must the employee be registered?
Insurance registrations must be completed no later than the starting date and before the employee actually starts work.
May a lump-sum sole trade employ staff?
Yes. Hiring does not itself end lump-sum taxation; the separate statutory conditions and receipts threshold continue to apply.
I am the owner and director. Which contribution base applies?
A working company director is subject to the specific director insurance-base rules, not automatically the ordinary employee minimum-wage base.
